Terms of Service

These Terms of Service ("Terms") govern your access to and use of Kahubi (the "Services"), provided by Avidemic AB, a Swedish limited liability company ("Kahubi", "we", "us"). By creating an account or using the Services you accept these Terms. If you do not agree, do not use the Services.

1. The Services and your license

Kahubi is an AI workspace for research: a reference library, AI chat, manuscript editor, transcription, and analysis tools. The Services are offered in a Free plan and paid plans (Starter, Pro, Max) as described on the Pricing page. We grant you a non-exclusive, non-transferable, revocable, time-limited license to use the Services according to your plan. We may update these Terms with notice as described in Section 15.

2. Your account and undertakings

• You must be at least 16 years old to use the Services (or have parental consent).
• One account may only be used by one person; keep your login credentials confidential and notify us promptly of any unauthorized access.
• You are responsible for your internet connection and the technical environment needed to use the Services.
• You must ensure content you upload is free of viruses, trojans, worms, or other harmful software, and that you have the right to upload it.
• You may not copy, decompile, decrypt, or reverse-engineer the Services, nor use them in an inappropriate or illegal manner (including violating research-participant confidentiality or third-party intellectual property).
• We may suspend or terminate accounts immediately for material violations of these Terms, without refund.

3. Pricing, payment, and refunds

• Prices are listed on the Pricing page, exclusive of VAT and other applicable taxes.
• Paid plans are billed in advance for each subscription period through our payment provider, Stripe. Plan changes take effect as described at checkout — upgrades immediately, downgrades and cancellations at the end of the current cycle.
• You may cancel at any time; access continues until the end of the paid period.
• New purchases are eligible for a full refund within fourteen (14) days of purchase. Email team@kahubi.com to request one; we process refunds within 14 days of registering the request.

4. Your data and intellectual property

You own your data. Uploading content to Kahubi does not change its ownership. We receive no rights to your papers, manuscripts, datasets, or transcripts beyond what is necessary to operate the Services for you. We do not sell your content to any third party, we do not show advertisements, and we do not use your content to train AI models. Kahubi and its licensors retain all rights to the Services themselves; you obtain no rights beyond the license in Section 1. We may remove content that infringes third-party rights upon notification.

5. AI output

The Services generate text and analyses using artificial intelligence. AI output may contain errors and does not constitute professional, legal, or scientific advice. You are responsible for verifying AI output before relying on it or publishing it, including checking citations, statistics, and factual claims.

6. Teams and shared projects

When you create a team or share projects, you select the members and administrators and are responsible for content created within your team, including compliance with applicable data-protection laws for participant data your team uploads. Team owners may suspend or remove member access; removed members revert to independent accounts.

7. Organization email addresses

If you register with an organization's email address (e.g. a university address), we may inform that organization that an account exists for licensing purposes. Register with a private email address if you prefer this not to happen.

8. Service availability and faults

The Services are provided "as is" and "as available". We do not warrant uninterrupted or error-free operation, and we may take the Services offline for maintenance and upgrades, giving prior notice for major maintenance where reasonably possible. Report faults within a reasonable time and we will work to fix them as promptly as circumstances permit. We are not responsible for faults in third-party applications you connect (e.g. Zotero, GitHub).

9. Confidentiality

Both parties agree to keep the other's non-public information confidential during your use of the Services and for two years thereafter, except where disclosure is required by law.

10. Liability

To the extent permitted by law, our total liability is limited to the amount you paid for the Services in the twelve months preceding the incident, and we are not liable for indirect, incidental, or consequential damages, nor for user-submitted content, hardware or software faults outside our control, or data corruption caused by third parties. These exclusions do not apply in cases of fraud or willful misconduct. Claims must be submitted within two months of the incident. Free-plan users are not entitled to economic compensation. You indemnify us against claims arising from your breach of these Terms, your content, or your violation of law or third-party rights.

11. Force majeure

We are excused from performance to the extent prevented by events beyond our reasonable control (e.g. fire, flood, war, strikes, infrastructure failures). We will notify you of such events without undue delay.

12. Term and termination

These Terms apply from your first use of the Services. You may terminate at any time by deleting your account or emailing team@kahubi.com and confirming you want your data removed from our systems. We may terminate with one month's prior notice, or immediately for material breach or where required by sanctions law.

13. Notices and communication

We communicate with you by email; notices are deemed received no later than two days after sending. We may send service-related communications (e.g. security or billing notices) at any time; marketing emails always include an unsubscribe option.

14. Entire agreement; miscellaneous

These Terms constitute the entire agreement between you and us regarding the Services and supersede prior representations. You may not transfer your rights under these Terms without our written consent. If a provision is found invalid, it will be interpreted to the maximum extent permitted by law and the remainder stays in force. Nothing in these Terms creates a partnership, joint venture, or agency relationship.

15. Changes to these Terms

We may modify these Terms to reflect legal changes or changes to the Services. Changes with no materially negative impact take effect upon posting; for material changes we will give notice in advance. Continued use after the effective date constitutes acceptance.

16. Governing law and disputes

These Terms are governed by the substantive laws of Sweden. Before formal proceedings, contact team@kahubi.com and we will attempt to resolve the dispute informally within 15 days. Unresolved disputes are settled by arbitration administered by the Arbitration Institute of the Stockholm Chamber of Commerce, seated in Stockholm, Sweden, conducted in English and kept confidential.
